MINUTES OF EXECUTIVE MEETING DECEMBER 21, 2006

MINUTES OF THE EXECUTIVE COMMITTEE MEETING

WEDNESDAY, JANUARY 10, 2007

MARKETING/COMMUNITY RELATIONS- S Perkovich

M-01 Presentations Scheduling Committee - G Grube

This committee needs co-chairpersons to replace Yvonne Ruediger whose term is about to expire. There are many organizations that need to be contacted and scheduled for a Foundation presentation. There is a need to contact many more of our members to schedule "Coffee and Teas with the A&E".

M-02 Ambassadors Corps - G Grube

Tess and Tom Mitchell regretfully reigned from the sceduling aspect of the Anbassadors for health reasons.

M-03 Special Events

The Crystal Ball- January 27, 2007 S Perkovich All in order. We need some additional ticket sales or sponsorships.

Stroll for the Arts – March 17, 2007 G Grube

The Foundation will run this IF we can find a chairperson.

Picnic and Pops- May 20, 2007 - G Grube The Executive Committee committed unanimously to produce this event. Two $5,000 grants have been received toward the total budget of $30,000. It is hoped that we can get enough sponsors for this event so tickets can be kept in the $20-25 range. We still need a chair person!

M-04 Home Show- February 3-4, 2007 Need volunteers to man the table at the show. G Grube will develop the forms for Muriel Deosarran who will schedule coverages and organize the displays. It was suggested that we have a sign announcing the "PICNIC AND POPS" at the Home Show table.

M-05 Publicity – S Perkovich Linda Jarosz was selected to be the Independent Contractor to serve as the Publicity Coordinator effective January 1, 2007. She was selected from a pool of fifteen applicants, three of whom were interviewed for the position.

EXECUTIVE- Joseph Ganci

E-01 Palm Coast Holdings Proposal to the City - J Ganci A proposal has been forwarded to the City Council by PCH.

E-02 Mortgage Application Process – J Ganci All is ready to move forward once our initial large donations are received.

E-03 Affiliations with Local Arts Groups - Glenn Grube Flagler County Art League, Flagler Symphonic Society, Choral Society and Chamber Orchestra, Flagler Playhouse, Northeast Florida Jazz Society,

Motown via Arielle Productions and the Cinematique Theater. G Grube Glenn is setting up meetings with these groups to further discuss these affiliations.

E-04 Magnet School; Student Representatives to the Board of Trustees; Student Memberships – G Grube

Thery McKinney has volunteered to pursue this aspect of the Foundation’ outreach to the schools.

E-05 Appreciation Awards – S Perkovich – AppreciationAwards are to be presented at the January meeting.

E-06 Appointment of Shirley Dunwoody as Publicity Chairperson – Effective April 1, 2007 – J Ganci - Approved

FINANCE/DEVELOPMENT/STRATEGIC PLANNING- L Florence

F-01 Strategic Plan for Fund Raising / Potential Donors List - J Ganci

A training session for our fund raising teams will be followed up with another session. Two major presentations have been made and four others are in process of being scheduled.

F-02 Tourist Development Council FUND 109 CAPITAL IMPROVEMENTS – J Ganci

This application will soon be completed for submission to the TDC for bricks and mortar money.

F-02 Safford, AZ / SSPW Architects / Construction Manager At Risk – Review – G Grube

Grube reported on this research visit and followup once back in Florida.

F-03 Grant Writer- Person with Responsibility - J Ganci Linda Kuntz has volunteered to serve as the Grant Writers Organizer/Coordinator.

F-04 Credit Card Application /Federal Accounts – L Kuntz – Report is pending.

 

MEMBERSHIP

MS-01 Membership Campaign – G Grube

Our membership reached 1400 in 2006. It is anticipated that Membership will increase dramatically once we announce the first few large donations over the next few months.

MS-02 Founding Members Dues Follow Up – G Grube We are seeking a volunteer to organize an effort to follow up on the limited number of Founding Members who have not yet paid their 2007 dues.

NOMINATIONS – C Helm

N-01 Acceptance of Trustee David Varner’s Resignation as a Trustee - C Helm – Accepted unanimously

N-02 23rd and 24th Trustees - C Helm The XC chose to hold off appointing two Trustees until a later date.

N-03 Officer Nominations - Ready for vote at the January Trustee’s meeting - C Helm

N-04 Associate Nominations – G Grube There will be a small number of Associates nominations in January.
